Email suppression list: what it is and why it matters

A suppression list is a set of email addresses a sender is prohibited from mailing. It is not just an archive of old unsubscribes. It is a core piece of email infrastructure, and losing it can wreck a domain's sender reputation in days.

Who ends up on a suppression list

Unsubscribers. When someone clicks "Unsubscribe," their address goes on the list and stays there. Sending to them again violates CAN-SPAM, GDPR, and most national anti-spam laws. This is not a recommendation — it is a legal requirement.

Spam complainers. When a recipient marks your message as spam, their ESP sends the report back through a feedback loop (FBL). The address is suppressed immediately. Sending to them again almost guarantees another complaint and accelerates reputation damage.

Hard bounces. These are permanent delivery failures: the mailbox does not exist, the domain is gone. Every bounce pushes up your bounce rate, and inbox providers track that number closely. There is no value in retrying hard bounces.

Spam traps. If validation or a live campaign identifies a trap address, it goes on the suppression list immediately. Hitting a spam trap repeatedly leads to blocklisting.

Role addresses. Addresses like admin@, abuse@, and postmaster@ are not tied to individuals. They do not always land on suppression lists automatically, but many senders add them as a precaution.

How to manage a suppression list properly

Keep one suppression list at the company level, not per campaign or per segment. If someone unsubscribed from your promotional newsletter, they should not receive your product update either. One list, one source of truth.

Automate additions. Hard bounces flow in from your ESP. Complaints arrive through the FBL. Unsubscribes are handled by the List-Unsubscribe processor. Manual processes do not scale and introduce errors.

Record the reason: unsubscribe, complaint, hard bounce, or spam trap. This matters for audits and for decisions later. An address suppressed for a hard bounce a year ago might be worth rechecking — mailboxes get restored. An address suppressed for a spam complaint should never come off the list.

Record the date too. Under GDPR, you must be able to show when and why you stopped sending to a specific address.

Why losing a suppression list is dangerous

The most common way companies lose their suppression list is during an ESP migration. You move from Mailchimp to Sendsay, export your active contacts, and forget to bring the suppression list along. Now unsubscribers are getting your emails again. So are your spam complainers. So are any trap addresses you had captured.

The result is a spike in complaints in the first few days on the new platform. The new ESP may suspend your account. The domain lands on blocklists. Deliverability drops. All because one file was not transferred.

Before any migration, the suppression list is the first thing to export. On the new platform, it is the first thing to import — before active subscribers, before anything else. Only after the list is loaded should you check that no suppressed address has slipped through into your sending queue.

Suppression lists and email validation

Validation and suppression lists answer different questions, but they work together. Validation asks whether an address exists right now. The suppression list asks whether you are allowed to send to it, given its history.

An address can pass validation — the mailbox exists, the MX record resolves, SMTP responds — and still be on your suppression list because the person unsubscribed. You cannot send. The reverse is also true: an address suppressed after a hard bounce may have been restored since. Validation might show it as live, but the decision to resume sending still requires care.
